PostEx’s terms mention a same-day pickup request made before the daily cut-off. They do not give a rider’s phone number, a depot address or a set collection route. If you need regular pickups, agree the local arrangement with your PostEx account contact.

Booking a pickup and handing parcels over are two separate steps. Keep your parcel records until the rider has collected everything and the handover sheet is signed.

Daily cut-off for same-day pickup

For same-day pickup, PostEx says to book before a daily cut-off, usually between 1:00 PM and 2:00 PM on working days. The word “usually” matters: it is not a fixed promise for every seller, city or day.

Book early enough for your team to pack every parcel and prepare the handover sheet. If an order comes in after the cut-off, ask PostEx if it can go in a later pickup or must wait for the next working day. Do not tell a buyer their order has left until PostEx has actually collected it.

Keep the order status honest

A shop can mark an item as packed while it waits for pickup. Only mark it as sent once PostEx has collected it. That way, your messages to buyers match where the parcel really is.

Afternoon rider collection window

PostEx says riders usually collect between 2:00 PM and 6:00 PM. This is a time window, not an appointment. Traffic, the route and the weather can change when the rider reaches you.

Use this time to get ready: keep packed orders together in a safe place, make sure someone is there to hand them over, and do not mix collected parcels with ones still being packed. If timing matters on a certain day, ask your PostEx contact about the route instead of guessing from past pickups.

Labels, barcodes and the handover sheet

Every parcel needs a printed label (air waybill) with a barcode that can be scanned. Make sure it is stuck on firmly and easy to read. PostEx also needs a signed handover sheet, which gives you and PostEx a record of what was collected.

Count the parcels on the handover sheet against the parcels you give the rider. If the numbers do not match, sort it out before you sign. Keep your signed copy with that day’s booking details, in case you need to ask about a parcel later.

If a pickup is missed, or you have more parcels than usual

If the pickup time has passed, do not assume your parcels were collected. Check the booking in your seller account and contact PostEx for what to do next. Keep the parcels, labels and handover sheet safe until PostEx collects them.

On a big sale day, or when you are sending more than usual, prepare the paperwork before the rider arrives and make the parcels easy to count. We could not find any limit on numbers or special service for busy days. Tell PostEx in advance if you expect a much larger pickup than normal.
